We are looking for an Operations Automation Specialist (AI Specialist) to design, build, and maintain the automated systems that run our business. You will work across Salesforce, Clay, Apollo, and Zapier to eliminate manual work, accelerate response times, and make our internal processes run without human intervention.

The scope covers the full operations stack: outbound prospecting, inbound lead handling, Salesforce data management, sample and quote request workflows, internal approval flows, and forecasting pipelines. If a human is doing something repetitive today, you will find a way to automate it.

Key Responsibilities:

Outbound & Prospecting Automation

· Design and operate AI-driven prospecting pipelines that identify, enrich, score, and engage ICP-fit accounts with minimal human input

· Eliminate manual data entry by populating records from enrichment tools, web forms, email replies, and API triggers

· Design lead scoring, lifecycle transitions, and assignment rules so records always reach the right owner at the right time

· Maintain data hygiene: deduplication, normalization, and decay prevention

Digital marketing support as needed.

Qualifications:

· 2–5 years in ops, sales ops, or automation; able to build flows, configure systems, and manage data without developer support

· Hands-on experience embedding AI (Claude, ChatGPT, or equivalent) into production workflows to generate, classify, or transform content

· Proven experience building multi-step, conditional workflows that connect four or more tools in a live environment — including enrichment, scoring, and sequence triggers

· Working knowledge of CRM, sales engagement, and enrichment platforms (Salesforce, Apollo, Clay, Zapier, or equivalents)

Job Summary

The Architectural Representative will serve as the primary liaison between Mitrex/Cladify and architectural firms, designers, contractors, and developers. This role focuses on building relationships, educating stakeholders on our sustainable cladding and solar-integrated solutions, and securing specifications for projects. The ideal candidate is a sales-oriented professional with a passion for green building technologies, strong networking skills, and experience in the architectural or construction industry. Highlight the benefits of solar-integrated walls and energy-efficient building materials that align with the sustainability goals of educational institutions.
  2. Airports/Aviation: Build relationships with airport authorities, aviation infrastructure developers, and contractors to promote our products for new airport terminal buildings, renovations, and expansions. Position Mitrex and Cladify as the go-to solution for airports looking to reduce their carbon footprint and implement cutting-edge energy-efficient and renewable energy technologies.
  3. Healthcare / Medical Facilities: Collaborate with healthcare administrators, hospital facility managers, architects, and GC's to integrate our sustainable building envelopes into new medical centers, clinics, and hospital expansions. Emphasize the critical need for energy efficiency, durability, and infection-resistant surfaces in healthcare environments, aligning with sector regulations and sustainability goals.
  4. REITs and Residential Rental: Real estate portfolios seeking energy-efficient upgrades across multiple properties, blending retrofit and new construction opportunities. Multi-family rental buildings, especially in urban Tier 1 cities, provide scalable retrofit potential for quick revenue (3–6 months).

Architectural Sales Qualifications:

  • A minimum of 5 years of Specification & Sales experience in the building materials, construction, or sustainable solutions industry, with specific experience in higher education, airports, or government/institutional buildings.
  • Proven track record of building relationships with design professionals and closing specifications in competitive markets
  • Strong knowledge of architectural processes, building codes (e.g., IBC, LEED certifications), and green building practices; familiarity with solar or cladding products is a plus.

  • Confirm all required documentation is in place before production orders are released
  • Verify payment status with accounting prior to project initiation
  • Set up project files, schedules, and tracking in the project management system

Client Communication

  • Serve as the primary office contact for all client correspondence throughout the project
  • Handle RFIs, approval requests, product sample submissions, and formal notices (e.g. delay letters)
  • Close out non-conformity reports, testing reports, and mockup approvals in a timely manner

Drawings & Approvals

  • Manage the shop drawing approval workflow across design, engineering, and the client
  • Coordinate panel layout approvals between the client, production, and design teams
  • Liaise with engineers for stamp approvals, product data sheet sign-offs, and SLD drawing reviews
  • Navigate jurisdiction-specific submission requirements (e.g. NYC permitting) in coordination with external engineers, and ad hoc certifications and international supply projects documentation
  • Route documents to the right people at the right stage and track outstanding approvals

Change Order Management

  • Process and document all change orders including scope adjustments, material changes, expedition fees, and client-requested additions
  • Ensure change orders are formally acknowledged and reflected in project schedules and budgets

Scheduling

  • Maintain an up-to-date project schedule for all active projects
  • Align internal production and delivery milestones with the client's schedule
  • Flag schedule risks early and coordinate internally to resolve

Supply & Install — Office Coordination

  • Assign installers and manage installer contracts, including obtaining and comparing pricing
  • Coordinate material delivery timing with logistics and the site project manager
